A guided build, from brief to published solicitation
Instead of starting with a blank template, a buyer enters a short brief describing what they need. From there, ArcProcure walks through each step of the solicitation with an AI assistant working alongside the builder:
- Core details — the AI drafts the substance of the solicitation from the brief; the buyer reviews and applies changes section by section.
- CLINs & pricing — a complete contract line-item structure, including option periods, proposed automatically and fully editable.
- Submission requirements — the exact fields vendors must complete, drafted or built from scratch.
- Evaluation factors — weighted, documented, and traceable, with each factor linkable directly to the submission fields and CLINs it scores.
- Timeline — key dates (questions due, proposals due, presentations) rendered as a visual timeline everyone can follow.
Every step is reviewable, and the buyer sees exactly what vendors will see before publishing. Nothing is a black box — the AI proposes, the buyer approves.
Amendments that track themselves
When a buyer needs to change a published solicitation, ArcProcure offers a statement-only notice or a full edit. Choosing to edit reopens the builder, and every change is automatically captured as a tracked amendment with a summary, the specific fields that changed, and a timestamp. Vendors are notified, see exactly what moved, and must acknowledge the amendment before proceeding.
New: in-bid Q&A between buyers and vendors
One of the newest additions lives inside the bid itself. Vendors can post a question directly on a solicitation; the buyer receives it in their Q&A manager, and the answer is visible to every vendor viewing that opportunity. It replaces the scattered email threads and amendment-only clarifications that normally carry pre-award questions — keeping the exchange transparent, on the record, and in one place.
Evaluation and award in the same system
Because the evaluation factors were defined during the build, scoring is structured from the start. Buyers rate each factor on a defined scale, scores roll up into an overall rating, and vendors are ranked against the same standard. A compare view puts bidders head-to-head, a scorecard lays every factor side by side, and the buyer can award directly from that view — at which point the contract goes live for both parties.
